Role Overview


The Enrollment and Training Operations Coordinator is the cornerstone of the Prosci® training delivery ecosystem. In this role, you are responsible for the end-to-end lifecycle of both public and in-house (private) certification programs. You guide professionals through the enrollment process, oversee world-class logistics, and serve as the "right hand" to our facilitators ensuring they are fully supported to deliver high-impact training.
  • Primary Objective: To manage the transition of leads into registered participants, oversee operational delivery for public and in-house programs, and provide comprehensive support to the facilitator team to ensure flawless execution.
  • Reports To: Team Leader (Delivery)
  • Key Stakeholders: Facilitators, Delivery Consultant, Corporate Clients, Executive Assistant (Strategy & Operations), Finance, and Marketing
Core Responsibilities
1. Enrollment Management & Lead Facilitation
  • Inquiry Response: Serve as the first point of contact for professionals interested in Prosci® certification, providing clear and engaging information about course benefits and schedules.
  • Information Distribution: Educate leads on the value of the Prosci methodology, class schedules, and prerequisites.
  • Registration Journey: Guide participants through the enrollment process, including the distribution of registration packages and the collection of required documentation and support the administration of private in-house contracts, ensuring all NDAs and service agreements are filed.
  • Revenue Coordination: Proactively follow up on pending payments and invoices, coordinating with Finance to ensure all accounts are settled.
2. Participant Onboarding & Success
  • Pre-Course Engagement: Execute a high-touch onboarding sequence, ensuring participants have access to digital portals and have completed necessary pre-work.
  • Support: Act as the dedicated liaison for all participant needs, from dietary requirements for in-person events to technical troubleshooting for virtual sessions.

3. Program Operations & Logistics
  • Venue & Tech Setup: Manage all physical and virtual logistics, including venue selection and manage virtual platform settings (Zoom/Teams/) and coordinating with client-site facilities for in-house delivery.
  • Material Fulfillment: Oversee the ordering and distribution of Prosci® physical toolkits and digital licenses, ensuring every participant has their materials on time.
  • Calendar Management: Maintain the master training calendar, balancing facilitator availability with client demand and public class schedules.
3. In-House Project Coordination & Reporting
  • Client Liaison: Support the "Project Lead" for in-house classes by coordinating participant lists, scheduling pre-course diagnostic calls, and managing client-specific requirements.
  • Post-Class Reporting: Consolidate data from training sessions to produce formal Post-Training Reports. This includes analyzing participant feedback, tracking certification completion rates, and summarizing key themes for corporate sponsors.
  • Filing Discipline: Ensure all course-related intellectual property and client-specific data are securely filed within the firm’s digital infrastructure.
4. Post-Class Engagement
  • Certification Fulfillment: Manage the verification process for attendance and facilitate the issuance of Prosci® certificates and digital badges.
  • Continued Connection: Lead the post-class follow-up to transition graduates into the global practitioner community and alert them to advanced learning opportunities.
5. Month-End Reporting & Compliance
  • Reconciliation: Conduct end-of-month audits to ensure all participants who completed the requirements have been correctly recorded in the Prosci® portal.
  • Usage Reporting: Prepare monthly reports on materials used and licenses issued to ensure compliance with Prosci® partnership agreements.
  • Performance Metrics: Compile monthly summaries of enrollment trends, conversion rates, and trainer utilization to support management’s strategic reviews.
6. Cross-Functional Collaboration
  • In-House Support: Assist the Delivery team in coordinating large-scale corporate training programs, ensuring consistency between public and private delivery standards.
  • Community Integration: Lead the post-class follow-up to transition graduates into the global practitioner community and alert them to advanced learning opportunities.
Success Profile
 
Attribute Requirement
Experience 3+ years in program coordination, academic enrollment, training administration or high-end event operations.
Service orientation A "hospitality first" mindset; enjoys helping people navigate a professional journey.
Project management Exceptional ability to manage multiple timelines, vendors, and checklists without oversight.
Organization
 
High attention to detail
Tech proficiency Comfortable with CRM systems, Microsoft SharePoint, and virtual meeting platforms (Zoom/Teams).
Communication Professional, persuasive, and empathetic written and verbal communication skills.
